What card types does a college ID card system need?
Most colleges need at least five card types: students, faculty, non-teaching staff, library-only members and visitors. A good college ID card system issues all of them from one brand with different fields and colors for each.

How can departments issue their own cards under one brand?
Give each department or office its own workspace under the institution's account. Central teams own the brand and templates; departments import and issue the cards they need.

How do you keep programme, year and validity current on a college ID card?
Store programme, year and validity as fields on each record, and update them by re-importing your student list each semester. The QR verification page always shows the current values, even if the printed card is a year old.
Semester update process
- Export current students from your student information system: student number, name, programme, year and enrollment status.
- Upload to the bulk ID generator using the same student number as the unique ID column.

How do digital college IDs work on students’ phones?
Each card has a private link that opens the student's digital ID in any phone browser. Students save the link or add it to their home screen, and show it when asked, with the same QR code as the printed card.

What a digital ID is not

How do you reissue lost cards and connect to library or access systems?
To reissue a lost card, deactivate the old one, regenerate a single card from the student's record and print it. For library and access systems, add a barcode with the student or staff number, and let your card printer handle any RFID encoding.
Reissue in four steps
- Search the student by name or number.
- Deactivate the current card so its QR code no longer verifies.
- Generate a replacement and export one CR80 PDF (85.6 × 54 mm).
- Print and hand over, and the digital ID keeps working throughout.
Library and canteen scanners
Most library systems already scan barcodes. Add a Code 128 barcode with the library number to the student or library card template using the barcode generator settings. Test with the library desk scanner before printing the full batch.
Building access

In the United States, FERPA governs student education records, including what institutions may disclose. In the EU and UK, the GDPR applies to personal data of students and staff. In India, the Digital Personal Data Protection Act, 2023 governs processing of digital personal data.
