What should digital business card software do?

Good digital business card software does four jobs: it makes a card that looks professional without design skills, it gets that card onto other people's phones in one step, it keeps the card current after you've shared it, and it tells you what happened next. Anything less and you are back to typing details into contacts by hand.

Use this as a checklist when you compare tools:

  1. Design — templates, brand colors, logo, photo and layout control, with a live mobile preview.
  2. Sharing — a permanent link, a QR code, a save-to-contacts (vCard) button, and something you can paste into an email signature.

How does the card designer work?

The online card designer starts from a template and lets you change colors, typography, logo, photo, layout and QR placement while you watch a live preview. One design can produce several card types, so your business card, employee ID and event badge look like they belong together.

Practical details:

  • Logos upload as SVG or PNG. SVG stays sharp at any print size.
  • Photos are cropped automatically to the template's frame.
  • QR placement can sit on the front or back of printed cards.
  • Brand kit — your colors and fonts are saved to the workspace and reused across every template.
  • Fields can be shown, hidden or reordered, and you can add call-to-action buttons such as "Book a call".

For teams, an admin locks the design and opens only the fields members should edit — usually name, title, phone and photo. Everyone gets a card that matches, no matter who created it.

Which card types can you make?

CardDeck makes six card types from the same editor. Each one reads from a person's record, so details stay identical across formats.

  • Digital profiles — a longer public page with your work, links and booking calendar; the home every other card can point to.

  • Event badges — role-labelled badges for attendees, speakers, sponsors, staff and press, with check-in QR codes.
  • Membership cards — tier, member number and expiry date, with a code that confirms whether a card is current.

Printed IDs export at the standard CR80 size (85.6 × 54 mm) in portrait or landscape as a print-ready PDF with bleed. Which card types you can issue depends on your plan: personal IDs on Pro, employee IDs on Team, and student IDs, event badges and membership cards on Business.

How do the QR code and barcode generators differ?

QR codes are read by phone cameras and can hold a link, contact or WiFi login; barcodes are read by laser and handheld scanners and usually hold a short number. CardDeck generates both because many organizations need both — a QR code for people and a barcode for the reader at the gate or till.

QR codes

The QR code generator makes codes for links, cards, profiles, WiFi, text and contact details, styled with your brand color and an optional center logo, and exported as SVG or PNG. Codes can be static (data stored in the pattern, unlimited on every plan) or dynamic (a short link you can re-target, with scan counts). QR codes are defined by the ISO/IEC 18004 standard and were invented by Denso Wave in 1994; any modern phone camera reads them.

Barcodes

The barcode generator supports Code 128 — which encodes all 128 ASCII characters, so it suits employee numbers, asset tags and tickets — and EAN-13 for retail products, with the check digit calculated for you. Barcodes download as crisp SVG and can be added to any ID, badge or member card. EAN-13 numbers for products sold in shops should come from GS1; for internal IDs, use Code 128.

How does batch generation from a spreadsheet work?

The batch generator turns a spreadsheet into a card, QR code and barcode for every row. It is the feature that makes CardDeck practical for HR teams, schools and event organizers.

  1. Upload a CSV (save it as UTF-8 to keep accents and non-Latin names intact) or an XLSX file, one row per person.
  2. Map columns to template fields — name, title, department, ID number, photo filename.
  3. Attach photos as a ZIP, named after the ID column (for example NWL-0428.jpg), and CardDeck matches each photo to its row.
  4. Review flagged rows. Missing photos, duplicate IDs and empty required fields are flagged before anything is issued.
  5. Issue or export — publish digital cards, or download a print-ready PDF or individual files.

Keep IDs unique: when you re-import an updated sheet, CardDeck uses the ID column to update existing cards instead of creating duplicates. Rows per job depend on your plan — 25 on Free, 500 on Pro, 2,000 on Team and 25,000 on Business.

How does contact capture work?

When someone opens your card, they can share their details back through a short exchange form. CardDeck stores each contact with its source — which card, badge, QR code or email signature brought them in — so you know where every lead came from.

From the contact list you can tag contacts, add notes and export them as CSV or vCard. Team and Business plans add CRM export and a shared view for admins. The form records consent with a timestamp, and contacts can be deleted on request. The full workflow is on the business card contact management page.

Contact limits by plan: 50 on Free, 1,000 on Pro, 5,000 on Team and unlimited on Business.

What do teams and admins get?

A team workspace lets admins invite members or import them in bulk, assign card types, lock brand templates and manage every card from one dashboard. Members edit only the fields the admin opens.

  • Roles and permissions — admins manage templates and members; members manage their own details.
  • Bulk updates — change the template once and every card using it updates.
  • Offboarding — deactivate a card or ID in seconds. A deactivated ID's verification page changes to inactive immediately.
  • Shared cards — a reception, shop or support card that isn't tied to one person.

Business adds multiple brands and workspaces, SSO, a custom domain and API access for larger organizations.

What can you measure with analytics?

Card and QR code analytics show how often cards are opened and codes are scanned over time, and which channels people use — QR scan, link, email signature or NFC tap. Per-card and per-team views help you see which events, flyers or reps generate attention.

Analytics start on Pro (basic, with CSV export). Team adds team analytics and an admin dashboard; Business adds advanced analytics and export. Scan counts come from dynamic QR codes, because a static code never passes through CardDeck when it is scanned.

How does CardDeck compare with other digital business card apps?

Most digital business card apps focus on the personal card and team management. Frequently asked questions

Do people need an app to open a CardDeck card?

No. Cards open in any modern phone browser, and saving the contact uses the standard vCard format that iPhone and Android contacts apps understand. Neither you nor the person you share with needs to install anything.

Can I use my own fonts and colors?

Yes. You can set brand colors and typography in the designer and save them to your workspace brand kit. Every template in the workspace can then reuse them, so cards, IDs and badges stay consistent.

Which file formats can I download?

QR codes and barcodes download as SVG or PNG; SVG is best for print because it scales without losing sharpness. Batch jobs export a print-ready PDF or individual files, and contacts export as CSV or vCard.

Can I add a barcode to an employee ID?

Yes. Add a Code 128 barcode with the employee number to the ID template so existing access-control or library scanners can read it. You can keep the QR verification code on the same card for phone-based checks.

Does the batch generator support Excel files?

Yes. Upload an XLSX file directly or save your sheet as CSV (UTF-8). Remove merged cells and empty rows first, and keep the first row as column headers so mapping is quick.

Can I share my card through NFC?

Yes, where the phone supports it. Write your card link to an NFC card, tag or sticker and compatible phones open your card with a tap. Keep a QR code alongside it, because not every phone reads NFC tags the same way.

Can I see who scanned my QR code?

Analytics show how many times a dynamic code was scanned and when, not the identity of each person. To know who someone is, they need to share their details through the contact exchange form on your card.

Is there an API?

API access is included on the Business plan, along with SSO and a custom domain. Talk to the CardDeck team about your integration needs before you choose a plan.

Can I try every feature for free?
