What is a digital membership card for clubs and associations?
A digital membership card for clubs is a member card that opens on a phone and confirms, when scanned, whether that person's membership is current. It replaces or sits alongside the plastic card in a wallet.
Each card shows the member's name and photo if you use one, the club's branding, the tier, the member number and the expiry date. A QR code or barcode encodes the member number. When staff scan it, they see the status: active, expiring soon or expired.

How it differs from a paper card
A paper card states an expiry date and cannot change. A digital card reads from your member record, so when a member renews or lapses, the card reflects it straight away. Members also cannot lose it as easily, because the link stays in their phone and their email.

How do you import members, tiers and expiry dates?

Columns to include
- Member number (your existing number, used as the unique ID)
- First and last name
- Tier, such as Gold, Silver, Student or Family
- Join date and expiry date
- Email address, to send each member their card
- Optional photo filename, if cards show a photo
Step by step
- Export from your membership database or spreadsheet.
- Format dates consistently, for example 2027-08-31, and keep member numbers as text so leading zeros survive.
- Upload and map columns. Map tier to a design variant so each tier gets its own look.
- Review flagged rows: duplicate member numbers, missing expiry dates or empty names.
- Generate the cards and send each member their private link.

How does front-desk status checking work?
Desk staff scan the card's QR code or barcode and see whether the membership is active, expiring or expired. Choose QR or barcode based on what your scanner reads.
QR code or barcode?
- QR code: any phone camera can scan it, and it opens a status page. Best when staff use phones or tablets.
- Barcode: a Code 128 barcode with the member number works with handheld barcode scanners already connected to your booking or till system. Add it with the barcode generator settings in your template.
You can include both on one card.
What staff see
The status page shows the member's name, tier, member number, expiry date and a clear active, expiring or expired label. Keep personal details off this page beyond what the desk needs.
Partner venues
If members get discounts at partner gyms, shops or venues, partners can scan the same code to confirm status. They see only the verification page, not your member database.
Training desk staff
- Scan every card, rather than glancing at the date.
- If a card shows expired, direct the member to renewal instead of refusing entry outright, if your policy allows.
- Check the phone screen brightness if a scan fails, or type the member number into your system.
Busy entrances
For high-traffic doors, a fixed barcode scanner at the desk is faster than a phone camera. Test both with your members' phones at different screen brightness levels.
How do renewals work without reissuing cards?
Renewals update the expiry date on the member's existing record. The card on their phone shows the new date immediately, and the printed code, if any, keeps working.
Two ways to update
- Re-import: upload your updated member list with the same member number column. CardDeck updates expiry dates and tiers on existing cards and adds new members.
- Single edits: change one member's record directly, for example after a renewal at the desk.
How often to re-import
Weekly is enough for most clubs. If renewals happen in a single season, re-import daily during that window so cards stay current at the door.
Tier changes
When a member upgrades from Silver to Gold, update the tier field. The card switches to the Gold design variant and shows the new benefits, without a new card.
Lapsed members
Members who do not renew show as expired when scanned. You do not need to delete them; when they renew later, the same card becomes active again.
Reminders
Use the expiry date in your own email tool to send renewal reminders, and include a note that the card updates automatically once they renew. That removes the common question "when will my new card arrive?".
Cost savings
Because nothing is printed or posted at renewal, the annual card run disappears. Members who want a plastic card can still get one, printed once and kept for years, because the status lives behind the code.
Should clubs still print plastic membership cards?
Some members prefer a physical card, and some venues need one. Print CR80 cards for those members, with the same QR code or barcode as the digital card, so status checks work either way.
When printing makes sense
- Older members who prefer not to use a phone at the door.
- Venues where phones are not allowed or signal is poor.
- Welcome packs for new members.
- Lifetime or honorary memberships.
What to print
Print the details that do not change: club name, member name, member number and the scannable code. Leave the expiry date off the printed card, or label it "See status by scanning", so a renewal never makes the plastic card out of date.
Print specs
Export print-ready PDFs at CR80 size (85.6 × 54 mm) with bleed for a card printer, or A4 sheets for a print shop. Design front and back in the card designer: logo and name on the front, return address and terms on the back.
Digital first, print on request
Most clubs send every member the digital card first and offer printed cards on request. That keeps print runs small and avoids posting cards to people who never use them.
Bulk design changes
If you rebrand, change the template once and every digital card updates. Only the members with printed cards need a reprint, and you can export just those rows.
How should clubs handle member data, and what should they measure?
Collect only the member data the card needs, limit who can see it, tell members what the scan shows, and track renewals, scans and printing costs.
Member data practices
- Import only the columns the card and status page use.
- Do not show home address, date of birth or payment details on the card or status page.
- Give admin access to the membership secretary and front-desk leads only.
- Delete members who ask to leave and have no outstanding obligations, according to your own policy.
- Remove old export files after each import.
