Event badge templates
24 events, 5 badge sizes, 5 layouts and 4 back types. Role colours stay the same at every event, so staff can read a badge from across the room. Click a badge to turn it over.
Short answer
An event badge template is a two-sided layout for a conference, festival, trade show or summit pass: the event name and dates, the attendee’s name set large, their company and role, a registration code and a QR code on the front; a schedule, Wi-Fi details, a lead-capture QR or an access-zone grid on the back. CardDeck’s templates cover 24 events in five sizes — 4 × 3 in, 3 × 4 in, 4 × 6 in lanyard, A6 and a vertical CR80 PVC credential — and every badge’s role band uses the same colour for the same role.
- Five sizes: 4 × 3 in landscape, 3 × 4 in portrait, 4 × 6 in lanyard, A6 and a vertical CR80 PVC pass.
- Five layouts: classic role band, poster, minimal, Swiss grid and festival credential with a photo and zone grid.
- Four backs: day schedule, Wi-Fi and help desk, lead-capture QR, access zones.
- Role colours are fixed across events — speakers orange, press blue, staff black, exhibitors green, VIP gold foil.
- Generate every badge from your registration list with a spreadsheet import; the QR code checks people in.
What size should an event badge be?
Choose the size by how the badge is worn and how far away it must be read.
- 4 × 3 in landscape is the conference standard: fits a standard badge holder, reads the first name at two metres.
- 3 × 4 in portrait suits lanyards and leaves room for a schedule on the back.
- 4 × 6 in is the lanyard pass for large summits and expos — the name is readable across a hall and there is room for a full day’s agenda.
- A6 (105 × 148 mm) is the European equivalent, used by fairs, galas and cultural events.
- Vertical CR80 (85.6 × 54 mm PVC) is the festival and sports credential: it survives a weekend, takes a photo and fits a clip or wristband loop.
All five are in the templates; the first name is sized to its width in every layout, so long names shrink rather than wrap.
Why role colours matter
Security, volunteers and sponsors read badges from a distance. If a speaker’s band is orange at every event you run, nobody has to learn a new key. The templates use one colour per role — speaker, staff, press, VIP, sponsor, exhibitor, crew, volunteer, buyer, curator, host, judge, media, referee, artist — and the colour is adjusted automatically when it would clash with the event’s own palette.
Festival and sports credentials go further with an access-zone grid: six lettered zones on the front, and the same grid with zone names on the back, shaded for the zones the holder may enter.
What goes on the back
The back is where the badge earns its keep after check-in:
- Schedule — the day’s programme with times and rooms, in the event’s type.
- Wi-Fi and help — network, password, help desk and venue, plus a QR code to the event app.
- Lead-capture QR — a code exhibitors scan to receive the attendee’s details, with a note that details are shared only when scanned.
- Access zones — the zone list with “Access” or “—” per zone and the lost-pass terms.
Pick the back when you choose the template; the designer lets you swap it for any other.
Frequently asked questions
How do I make badges for everyone from a list?
Export your registrations as CSV or XLSX, map the columns to name, company, role and ticket type, and CardDeck generates one badge per row with its own QR code. Print them as a PDF sheet or on a badge printer, or email them as digital passes.
Can the QR code check people in?
Yes. Each badge carries a unique code; scanning it at the door marks the attendee as checked in and records the time. The same code can open the attendee’s digital card for networking.
Can I use my own fonts and colours?
Yes. Every template takes your event’s palette and typefaces; the role band keeps its colour unless you change it. Upload the event logo and it replaces the event name where the layout has a logo slot.
Which plan includes event badges?
Event badges are included on the Business plan, which also covers student IDs and membership cards. Business cards and QR landing pages are free.
